The NZIX Committee provides governance, strategic oversight and support for the operation of NZIX.
All Committee members contribute to decision-making and the work of the Committee. The Chair, Treasurer and Secretary also hold specific responsibilities associated with their roles, working closely with the Executive Officer, NZIX staff and the relevant subcommittees.
The following provides an overview of what each role involves. Responsibilities may evolve as the needs of the Society change, and officeholders are supported by the wider Committee in carrying them out.
Chair
- Chair all Committee meetings (bi-monthly)
- Chair the AGM
- Represent NZIX to external parties
- Provide banking assistance as required
- Provide contract assistance as required
- Sign documents
- Complete annual TICSA reporting
- Provide a Chair’s report for the newsletter twice yearly
- Ideally sit on the Communications Subcommittee and attend monthly communications meetings
- Support the Executive Officer
Treasurer
- Organise annual budgets and budget alterations as required
- Ensure all spending is within budget, or arrange approval for any over-budget or unbudgeted spending
- Assist with Xero payment approvals as required
- Manage pre-approved supplier spending limits
- Provide second banking authorisation for all payments
- Supervise NZIX member debt levels
- Supervise the business-as-usual tasks of NZIX accounts staff
- Assist with the compilation of end-of-year financials
- Arrange for all financials to be prepared for the AGM
- Present the financials at the AGM
- Ensure the Society’s other financial needs are met
- Maintain financial risks at acceptable levels
- Address any other financial issues that arise
- Sit on the Finance and Audit Subcommittee and attend quarterly meetings
- Ideally sit on the Technical Subcommittee
Secretary
- Assist with contract negotiations
- Review internal policies
- Liaise with the external legal team
- Attend bi-monthly legal meetings
- Present an update at the AGM
- Run Committee elections
- Manage all Society correspondence
